Compensation Range: $21-27/hour
The Administrative Assistant will support Finance and Legal teams by performing support and administrative tasks. This is a fast-paced position that requires a diligent work ethic, the ability to juggle multiple tasks, strong memory and quick recall, attention to detail and an ability to independently exercise sound and reasonable judgment.
Responsibilities:
- Manage Calendars for the Vice President of Finance and Vice President of Legal, schedule meetings and calls, and ensure on-time attendance
- Manage invoice flow for the department and the Production accounting team
- Create Vendors, PRs & POs
- Act as direct liaison with Production Coordinators and Executive Assistants
- Perform clerical duties such as typing/printing/copying/scanning, managing team members’ vacation requests, maintain Outlook Contacts, admin correspondence, digital and paper file administration, and assist with report & presentation building in excel or PowerPoint
- Prepare production greenlight paperwork for approval
- Arrange and book conferences, travel, accommodations and submit expense reports
- Coordinate with IT for service requests and troubleshooting
- Coordinating weekly cheque mailings and pick up from external production accounting firm
- Filing and maintenance of production accountant binders as necessary
- Additional duties as may be assigned
Qualifications:
- Post-secondary education (diploma, certificate, undergraduate degree)
- 1-3 years’ direct administrative and support experience in a fast-paced environment
- Highly proficient with MS Office (Word, Excel, PowerPoint, and Outlook)
- Demonstrates good judgment and ability to deal with very confidential and sensitive information
- Flexible and excited about supporting various unpredictable projects and schedules
- Self motivated, team-oriented attitude and strong work ethic, including learning new skills and filling open time in the role with proactive thinking and planning
- Strong oral and written communication skills
- Ability to handle multiple tasks simultaneously, prioritize high volume of workload and meet (and sometimes set) strict deadlines for tasks
- High degree of accuracy and attention to detail and impressive follow-through on varied tasks and assignments
- Comfortable with data entry online and revising documents
- Good organizational, time management and prioritizing skills

Most candidates will start at the bottom half of the pay range, with the upper end reserved for candidates with extensive experience and skills and who live in geographic markets commanding a higher starting pay.
