Our client is seeking a " Management Assistant /administrative assistant".
The ideal candidate will have strong administrative skills and be adept at calendar management, invoicing, travel coordination, and budget tracking. You will be supporting senior-level directors and managers,Teams ensuring efficient team operations and assisting with various administrative tasks, all while maintaining a proactive and organized approach.
Responsibilities:
Calendar Management and Scheduling:
- Provide efficient calendar management and scheduling support for senior managers and directors.
- Proactively manage team meetings and appointments, ensuring no conflicts and efficient time management.
- Coordinate travel arrangements and meetings, ensuring all logistics are handled smoothly.
Administrative Support:
- Perform strong administrative duties including handling invoicing, travel management, and document preparation.
- Track departmental budgets, reviewing expenses, and working to ensure accuracy and compliance.
- Assist in preparing and reviewing presentations using PowerPoint, ensuring they are professional, visually appealing, and accurate.
- Coordinate and support team meetings, ensuring proper logistics (room bookings, catering, agenda preparation, and follow-ups).
- Process, track, and administer various administrative functions, including office supplies, IT equipment requests, and training registrations.
Financial and Budget Tracking:
- Track and manage departmental budgets, reviewing and highlighting areas of over and under budget.
- Enter data into financial systems like Hyperion and Oracle to ensure accurate budget forecasting.
- Prepare invoices, requisitions, and expense reports for management review.
Document Review and Editing:
- Review and edit PowerPoint presentations, ensuring they meet the necessary standards for senior leadership.
- Compile and coordinate reports, correspondence, and other materials as required.
Liaising with Stakeholders:
- Build strong relationships with senior-level directors, managers, and internal stakeholders.
- Respond to inquiries, ensuring consistency in communication across departments.
- Act as a point of contact for vendors, employees, and leadership teams.
Qualifications:
- Proven administrative experience in supporting senior management, directors, and teams.
- Strong calendar management and scheduling skills are a must.
- Tech-savvy with proficiency in Microsoft Office Suite (especially PowerPoint, intermediate Excel skills, and Outlook).
- Ability to manage invoicing, travel coordination, and budget tracking in an organized manner.
- High energy and strong attention to detail.
- Strong PowerPoint skills to prepare and edit presentations for senior leadership.
- Experience managing and tracking departmental budgets is preferred.
- Ability to multitask and handle changing priorities with confidence and accuracy.
- Excellent communication and organizational skills.
