YOUR DAY IN THE LIFE 

The role as Executive Assistant will be responsible for supporting up to 3 Senior Vice Presidents. This role will provide a range of administrative support including duties such as managing calendars, scheduling meetings, coordinating travel & expenses, preparing meeting material, drafting email inquiries, inbox management, and other administrative duties as required by the leaders. This position may require leading and assisting in special projects as needed.  

In this critical role, the Executive Assistant must possess excellent organizational skills, strong attention to detail and the ability to prioritize work in accordance with internal service level agreements. Additionally, the Executive Assistant must be able to manage multiple tasks with ease and demonstrate flexibility to adjust to rapidly changing schedules and requirements 

YOU WILL: 

  • Manage leader’s inbox, calendars and schedule meetings  
  • Partners with a wide range of Wilson’s departments, including but not limited to: delivery, marketing, sales, operations, and IT. 
  • Acting as the point of contact among employees and other external partners  
  • Attend calls in support or on behalf of leader  
  • Format information for internal and external communication – meeting agendas, emails, presentations and reports  
  • Coordinating travel, meeting logistics, and expenses 
  • Ad hoc project support as needed 

REQUIREMENTS: 

  • Minimum 3+ years of experience supporting executives (VP & above). 
  • Successfully achieve results in a fast-paced, deadline-driven environment 
  • Must be able to exercise discretion when discussing sensitive information, both verbally and in written communication 
  • Strong verbal and written communication skills 
  • Intermediate/advanced working knowledge of MS Office365  
  • Works well as part of a team, takes initiative, and work autonomously  
  • Excellent organization and time management skills 
  • Project coordination/management experience preferred
